How to Add Item IDs, Items, and Assign Locations

This article will walk you through how to add and assign item IDs to locations in the item schedule. For an explainer on what Item IDs are, refer to What are Items & Item IDs

The Efficiently Item Schedule has two workspace views that contain the same information displayed differently to match your preferred layout.

Every selection is in the item schedule is made up of three parts:

  • Location: Where in the project the selection belongs

  • Item ID: The container that holds the item and its locations

  • Item: The actual design selection or product item

You can add Item IDs and items from either the Rooms view or the Item IDs view. Use the approach that fits your workflow.

Add Item IDs and Items from the Rooms View

To work from the Rooms tab, you will need to first build the Rooms, Spaces, and Locations structure of your item schedule (refer to Add Rooms, Spaces, and Locations then follow the steps below.

  1. In the Item Schedules tab, open the Rooms view.

  2. Select the Location where you want to add a selection. *If a space does not have a location, click “Add Location” to add one.

  3. Click the + to Add Item on the Item ID.

  4. From here you can manage your Item ID or add a new item

  5. Search or filter the catalog to find your product.

    • Items with additional choices will show View item options.

    • Make your selections, then choose Select.

  6. The item will now appear under the Location, attached to the Item ID and applied to all locations using this ID.

Add Item IDs and Items from the Item IDs View

This method lets you quickly add items to Item IDs without first setting up Rooms and Spaces. This is ideal when you’d like to skip Room setup.

  1. In the Item Schedules tab, open the Item IDs view.

  2. Select Add Item ID and choose the Division, Type, and Sub-Type (if applicable).

  3. Click the + on the new Item ID to attach an item.

  4. Search or filter the catalog, select the item, and it will be added to the schedule.

Assign a Location to an Item ID (Optional)

  1. In the Item IDs view, select the blue + next to Location on the Item ID to add a new location.

  2. Click into the the new location to surface the black fly-in on the left hand side.

  3. Choose the 'click to assign a room and space to this location' link at the top of the black fly-in.

  4. Select the Room and Space and click Save.

    The updated Location will appear beneath the Item ID.
