Add Notes to Item Schedule

Efficiently automates your item schedule, but you can add notes whenever extra detail is needed. Notes appear in the platform and in PDF exports, and can be added from anywhere the schedule is accessible.

Add Location Notes or Installation Notes

Use Location Notes or Installation Notes when you need to add details specific to a single location.

  1. Open the Rooms view and select the Location on the far left of the schedule

    (for example: Floor – Tile – Cement or Sink – Kitchen).

  2. In the fly-in Panel, click the plus icon next to Location Notes, Docs and Specs.

  3. Choose Location Note or Installation Note from the dropdown.

    • Location Notes apply only to this specific location.

    • Installation Notes provide instructions for installers.

These notes are helpful when an item is used across multiple locations but has unique requirements in one particular spot.


Add Item ID Notes

Use Item ID Notes when the note applies to the entire Item ID, regardless of how many locations are associated with it.

  1. Click the Item ID in the second column of the schedule

    (you will see either the item name or “No item selected”).

  2. In the fly-in panel, add your note in the Item ID Notes section.

Item ID Notes are ideal when instructions or callouts apply to the item itself across all its locations.


Add Notes to Specs, Options, Dependents, or Alternatives

If the Item ID includes any of the following:

  • Specifications

  • Options

  • Dependent Items

  • Alternative Items

You will see note fields for each of these components at the bottom of the item details fly-in. Add notes here when details apply specifically to one of these connected elements.

How to Include Notes in a Schedule

  • Click Create New Book from within your project.

  • Select the appropriate book type:

    • Schedule Book

    • Installation Book

    • Procurement Book

  • Click Next.

  • Choose the divisions you want to include, or select All Divisions.

  • Click Next.

  • Select the note types you want to include:

    • Item Notes

    • Location Notes

    • Installation Notes

  • Click Create to generate the book with all selected notes included.

Your schedule will now display the selected notes alongside item details for easy review and sharing
