Navigating the Item Schedule: Quick Reference Guide

This article recaps how to use the Item Schedule to quickly find the information you need.

Default View: Rooms View

When you open the Item Schedule, it defaults to the Rooms View.

In this view:

  • Items are organized by Room → Space → Area → Location

  • The first columns show your locations

  • The next column shows the Item IDs

Understanding Areas

An Area groups related locations within a Space.

Example:
The Fireplace Area inside the Recreation Room is highlighted in orange and groups all fireplace-related locations.

Item IDs View

You can switch to the Item IDs View at any time.

In this view:

  • Item IDs appear first

  • All related locations are listed underneath each ID

Both views contain the same information. Choose the one that fits your workflow.

Using Search and Filters

Use the search bar and filters to find information faster.

Click Filters to narrow results by:

  • Room or Space

  • Spec Status

  • Division

  • Item Type

  • Item Status

  • And more

This helps you locate specific items or locations in seconds.

Location Fly-In Panel (Left Side)

Click any location in the schedule to open the location panel from the left.

Here you’ll find:

  • Spec status

  • Location notes

  • Comments and RFIs

  • Location history

⚠️ Everything in this panel applies only to that location.

Notes, comments, and history here do not affect other locations using the same Item ID.

Item ID Fly-In Panel (Right Side)

Click an Item ID to open the item panel from the right.

This panel shows item-level information, including:

  • Product details

  • Specifications and documents

  • Item history

  • All linked locations (via the Locations tab)

These details are shared wherever the Item ID appears in the project.

Understanding History

Item ID History

  • Found in the Item ID panel

  • Tracks changes made at the Item ID level

  • Does not show location-specific updates

Location History

  • Found in the Location panel

  • Shows activity for that specific location only

  • Includes location-level comments and changes

To see location history, always click the location first.

Key Reminder

  • Left Panel = Location Information

  • Right Panel = Item ID Information

Use the left panel for location-specific details and the right panel for item-wide information.
