Communicating with Stakeholders

Updated over 3 weeks ago

In this lesson you learned how to monitor project status and communicate with stakeholders in Efficiently.

Project Summary View

When you open a project, you land on the Summary Page, which shows:

  • Selections, spec status, deadlines, and risk areas

  • Open comments and RFIs

  • Recent activity and mentions

Locations Overview displays progress by division, showing what’s complete, pending, or at risk.

Comments vs. RFIs

Comments
Used for discussion, updates, and coordination. May not require action.

RFIs
Formal requests for missing or unclear information. Assigned to a collaborator and must be resolved to move work forward.

Creating Comments & RFIs

Always start from the right context.

From a Location (left panel)
Use when the message applies to one installation point.
Add a comment or create an RFI from the chat box. RFIs here update the location’s status.

From an Item ID (right panel)
Use when the message applies across all locations using that item.
Add comments or RFIs the same way.

Receiving Notifications

If you’re assigned an RFI or mentioned, you’ll receive an email linking directly to it.

Finding Open RFIs & Comments

From the Summary Page

  • Click See All to view all items

  • Filter by location, division, mentions, or Item ID

  • Click red progress bars to view unresolved RFIs

From the Item Schedule

  • Use Filters (Comments, RFIs, Spec Status)

  • Click comment icons to view open items

Important Note

RFIs created at the location level apply only to that location, even if other locations share the same Item ID.

Key Takeaway

Use the Summary Page and filters to track project health.
Use Comments for coordination and RFIs for missing critical information.
Always message from the correct location or Item ID to keep context clear.
