Statuses and Approvals

One of the simplest ways to understand project progress in Efficiently is by tracking the lifecycle of each item selection.

Every item moves through a clear process:

Design Selection → Construction Review → Client Approval → Installation

Each collaborator plays a role in moving items through this lifecycle. Statuses make that progress visible.

Understanding Item Status vs. Spec Status

Item Status

Tracks item selection related decisions, including:

  • When the item is selected

  • Submitted to client

  • Approved or rejected by client

This tells you where the product related decision stands.

Spec Status

Tracks specification requirements and construction readiness at each location.

A specification defines how something must function, fit, or be installed — even if the exact product hasn’t been chosen.

Spec Status helps you identify:

  • Open RFIs

  • Approved specifications

  • Locations ready to build

  • Spec Complete milestones


Viewing Status Information

You can view status information in two places:

  • Summary View — Visual progress bars show overall status health

  • Item Schedule (Status View) — Detailed, filterable breakdown of item and spec progress

Clicking any color in the Summary progress bar filters the Item Schedule to show only items in that status.


Managing Specifications

After an item is selected, the next step is confirming whether a specification is required.

The designer:

  1. Clicks the location to review spec details

  2. Confirms installation information

  3. Updates the Spec Status accordingly

Possible Spec Status updates:

  • Design — Spec approved by Designer and ready for GC/PM review

  • N/A — No specification required (e.g., wall paint)

  • RFI — Information required before proceeding

  • Spec Complete — All spec requirements finalized and ready to build

If an RFI is sent:

  • The Spec Status automatically changes to RFI

  • An orange chat bubble indicates an open RFI

  • Once resolved, the chat bubble turns black


Submitting to Client

Selections may be submitted to the client at different phases of the project.

The responsible team member will:

  • Click Submit to Client

  • Mark the selection as Approved or Rejected to track the client's decision

This ensures decisions are documented and traceable within the workflow.


When Is a Space Build Ready?

A location becomes build ready when:

  • All item selections are finalized

  • All specifications are complete

  • No RFIs remain open

  • Client approvals are received

When all locations within a space reach Spec Complete and client approval is finalized, that space has all required information to move forward with construction.

The Summary View provides a visual confirmation of this readiness.

FAQ: Are these items approved by the client?

Answer:
Switch to Status View and filter by Item Status. You can see what is approved, submitted, or still pending.
